From recording to readable notes: a transcription checklist

Turn a spoken recording into useful text, then catch the errors that matter before you share it.

Decide what the transcript needs to do

Meeting notes, subtitles, and an interview transcript are different deliverables. Notes can condense repeated points; subtitles must stay in time with the speaker; an interview needs wording that can be checked against the recording.

Choose your destination before processing. A plain text file is useful for editing and searching. A timed subtitle format is useful only if the tool offers timestamps and your editor can import it.

Prepare a useful recording

Listen to the first minute and one difficult section. If voices overlap or background music obscures speech, transcription may need substantial correction. Increasing video resolution will not make an unclear voice easier to understand.

  • Use the clearest recording you already have; avoid repeated audio exports.
  • Keep a note of speaker names and specialist terms.
  • Do not send a private meeting to a cloud service unless you are allowed to do so.

Transcribe, then do a focused review

Read while listening, rather than checking the text in isolation. A sentence can sound plausible while containing the wrong amount, date, or name.

  1. Open the video-to-text tool and check the accepted file requirements.
  2. Choose the recording and the language options available on the page.
  3. Wait for a completed result; keep the page available while processing.
  4. Compare proper nouns, numbers, and uncertain passages with the audio.
  5. Save the result in the available format and open the saved file.

Make the text usable

Add paragraph breaks when the subject changes. If you shorten the transcript into notes, keep that edited version separate from the original transcript so readers know which is which.

For an interview, retain a reference to the recording and record unresolved passages rather than guessing. Before publishing a quote, check the exact wording and context yourself.

Keep in mind

Automated text can omit a short word that reverses meaning. Pay particular attention to negatives such as ‘not’ and to units beside numbers.
